Managing Folders

This​ ​section​ ​of​ ​the​ ​settings​ ​task​ ​provides​ ​the​ ​ability​ ​to​ ​effectively​ ​manage​ ​the​ ​hierarchy​ ​of​ ​mailbox​ ​folders.

The​ ​hierarchical​ ​folder​ ​tree​ ​is​ ​displayed​ ​in​ ​the​ ​middle​ ​list​ ​widget,​ ​allowing​ ​for​ ​the​ ​selection​ ​of​ ​a​ ​single​ ​folder​ ​by​ ​clicking​ ​on​ ​it.​ ​Relevant​ ​folder​ ​information​ ​and​ ​settings​ ​are​ ​then​ ​presented​ ​in​ ​the​ ​right​ ​properties​ ​pane.

Please​ ​note​ ​that​ ​certain​ ​folders​ ​are​ ​grayed​ ​out​ ​and​ ​unable​ ​to​ ​be​ ​edited,​ ​deleted,​ ​or​ ​renamed.​ ​These​ ​”virtual”​ ​folders​ ​are​ ​purely​ ​for​ ​organizational​ ​purposes​ ​and​ ​do​ ​not​ ​contain​ ​any​ ​actual​ ​messages.

Additionally,​ ​certain​ ​Special​ ​System​ ​Folders​ ​cannot​ ​be​ ​renamed​ ​or​ ​unsubscribed​ ​from,​ ​as​ ​they​ ​serve​ ​unique​ ​purposes​ ​and​ ​are​ ​utilized​ ​by​ ​system​ ​processes.

Subscribing​ ​to​ ​Folders

Within​ ​the​ ​folder​ ​list,​ ​the​ ​right​ ​column​ ​denotes​ ​whether​ ​a​ ​folder​ ​is​ ​subscribed​ ​to.​ ​By​ ​selecting​ ​the​ ​checkbox,​ ​the​ ​subscription​ ​status​ ​for​ ​that​ ​particular​ ​folder​ ​can​ ​be​ ​modified.

Subscribed​ ​folders​ ​will​ ​appear​ ​in​ ​the​ ​email​ ​view,​ ​while​ ​unsubscribed​ ​folders​ ​will​ ​remain​ ​hidden​ ​and​ ​only​ ​accessible​ ​within​ ​this​ ​section.

Creating​ ​a​ ​New​ ​Folder

  1. Click​ ​on​ ​the​ ​”Create​”​ ​icon​ ​located​ ​in​ ​the​ ​toolbar at the top of the screen.
  2. Provide​ ​a​ ​name​ ​for​ ​the​ ​new​ ​folder​ ​within​ ​the​ ​properties​ ​form​ ​on​ ​the​ ​right.
  3. Select​ ​a​ ​parent​ ​folder,​ ​or​ ​choose​ ​to​ ​create​ ​the​ ​new​ ​folder​ ​at​ ​the​ ​top​ ​level.
  4. Click​ ​the​ ​”Save”​ ​button​ ​below​ ​the​ ​form​ ​to​ ​finalize​ ​the​ ​creation.

Please​ ​be​ ​aware​ ​that​ ​the​ ​”Parent​ ​folder”​ ​field​ ​is​ ​preset​ ​with​ ​the​ ​currently​ ​selected​ ​folder​ ​in​ ​the​ ​folder​ ​list​ ​on​ ​the​ ​left.

Managing​ ​the​ ​Folder​ ​Hierarchy

Folders​ ​can​ ​be​ ​organized​ ​in​ ​a​ ​nested,​ ​hierarchical​ ​structure​ ​for​ ​efficient​ ​email​ ​storage.​ ​Even​ ​existing​ ​folders​ ​can​ ​be​ ​designated​ ​as​ ​subfolders​ ​of​ ​others​ ​or​ ​moved​ ​to​ ​the​ ​top​ ​level.

To​ ​move​ ​a​ ​folder,​ ​simply​ ​click​ ​and​ ​drag​ ​it​ ​onto​ ​the​ ​desired​ ​parent​ ​folder.

Alternatively,​ ​the​ ​parent​ ​folder​ ​can​ ​be​ ​selected​ ​within​ ​the​ ​property​ ​form​ ​on​ ​the​ ​right,​ ​and​ ​by​ ​clicking​ ​”Save”​ ​the​ ​currently​ ​selected​ ​folder​ ​will​ ​be​ ​relocated​ ​to​ ​its​ ​new​ ​parent.

Deleting​ ​Folders

  1. Choose​ ​a​ ​folder​ ​from​ ​the​ ​list.
  2. ​Open​ ​the​ ​”Folder​ ​Actions”​ ​menu​ ​located​ ​in​ ​the​ ​list​ ​header​ ​and​ ​select​ ​”Delete
  3. ​Confirm​ ​the​ ​deletion​ ​when​ ​prompted.

Searching​ ​for​ ​Folders

If​ ​the​ ​list​ ​of​ ​folders​ ​is​ ​extensive,​ ​a​ ​search​ ​box​ ​can​ ​be​ ​accessed​ ​by​ ​clicking​ ​the​ ​magnifying​ ​glass​ ​icon​ ​in​ ​the​ ​header​ ​of​ ​the​ ​folder​ ​list.​ ​As​ ​you​ ​type​ ​in​ ​the​ ​search​ ​box,​ ​the​ ​folder​ ​tree​ ​will​ ​be​ ​condensed​ ​to​ ​display​ ​only​ ​matching​ ​folders.

Directly​ ​right to​ ​the​ ​search​ ​box,​ ​a​ ​dropdown​ ​menu​ ​offers​ ​options​ ​to​ ​filter​ ​the​ ​folder​ ​list​ ​based​ ​on​ ​common​ ​scopes​ ​or​ ​”namespaces”​ ​such​ ​as​ ​”Personal”,​ ​”Shared”​ ​or​ ​”Other​ ​users”.​ ​The​ ​availability​ ​of​ ​these​ ​options​ ​may​ ​vary​ ​depending​ ​on​ ​the​ ​capabilities​ ​of​ ​your​ ​email​ ​server.
