External mail clients (IMAP & SMTP)

Connect Outlook, Thunderbird, Apple Mail, or mobile apps to your Finmail mailbox using standard IMAP and SMTP.

Finmail Webmail is the primary workspace for AI insights, team collaboration, and compliance features. Optionally, you can also read and send mail from familiar desktop or mobile clients over IMAP and SMTP — no extra DNS records on your domain.

Connection settings

Use these values in your client's manual or advanced account setup:

Team domains: complete Domain DNS activation before sending or receiving as @yourfirm.com. You still connect to imap.finmail.com and smtp.finmail.com — you do not publish separate IMAP/SMTP records on your own domain.

Quick setup by client

Microsoft Outlook (desktop)

  1. File → Add account (or Account settings → New).
  2. Choose Manual setup or IMAP.
  3. Enter the table values above; enable My outgoing server requires authentication.
  4. Use the same full email and password for SMTP.

Mozilla Thunderbird

  1. Account settings → Account actions → Add mail account.
  2. Enter your name, full email, and password; click Manual config.
  3. Set incoming to IMAP, imap.finmail.com, port 993, SSL/TLS.
  4. Set outgoing to SMTP, smtp.finmail.com, port 587, STARTTLS, authentication Normal password.

Apple Mail (macOS / iOS)

  1. Settings → Mail → Accounts → Add Account → Other.
  2. Add a Mail account with the IMAP and SMTP hosts and ports above.
  3. Username is your full email address.

Android / generic mobile

Use Other or IMAP account type and enter the same server, port, and encryption values. If the app offers only "SSL" for SMTP, choose STARTTLS on port 587 when available.

Display name on outbound mail

When you send through smtp.finmail.com, the From display name shown to recipients follows what you save in Webmail under Settings → Mail → Send as / aliases — not the nickname you type only in Outlook or Thunderbird.

Update your display name in Webmail before relying on a third-party client for external sends.

Two-factor authentication (2FA)

2FA applies to Webmail sign-in in the browser. IMAP and SMTP authenticate with your mailbox password inside the TLS tunnel — you do not enter a TOTP code in the mail client.

What external clients do not include

Third-party apps use standard mail protocols only. They do not surface:

  • AI mail insights, Ask Finmail, or compose assist
  • Team collaboration (assignments, shared drafts, approvals)
  • Secure Share, privacy gateway controls, or Mail analytics
  • Mail calendar and Signal Hub sidebar tools

Use Webmail for those workflows; use IMAP/SMTP when you need a local archive, client-side filters, or mobile notifications alongside Finmail.

Troubleshooting
