Mail settings

Find every mail-related preference under Settings → Mail — contacts, signatures, forwarding, filters, and automation.

Mail-related preferences live under Settings → Mail in the settings sidebar. Each page saves to your account (or the mail server, for automation rules) and applies across devices where you sign in.

Notifications (desktop alerts, quiet hours, tier filters) are under Settings → Notifications → Notification center — see Notifications & VIP contacts.

Contacts

Manage saved contacts extracted from your inbox or imported from vCard (.vcf). Saved contacts power:

  • Notification tier filters (Settings → Notifications)
  • Out-of-office “contacts only” auto-replies
  • Quick compose from the contacts list

You can mark a contact as VIP from the contacts page — VIP priority rules are managed on the dedicated VIP page.

VIP contacts

Trusted senders who bypass notification tier and quiet-hour limits. See Notifications & VIP contacts.

Signature & templates

Create reusable signatures and template bodies for faster outreach. See Signatures & templates.

Send as / aliases

Configure which From identities appear in the composer for your mailbox — primary address, same-domain aliases, and (on Team) linked send-as addresses your owner provisioned. Pair each identity with a signature profile when needed.

Team members sending on a shared identity should confirm available aliases with the workspace owner (Team collaboration).

Auto Bcc (compliance)

Optional compliance archive: automatically Bcc a retention address on outbound mail. You can limit Bcc to messages where all To/Cc recipients are external and define internal domains that count as in-firm.

Auto-forward

Forward incoming mail to another address. Choose whether to keep a copy in the Finmail mailbox.

Out of office

Schedule a multilingual auto-reply while you are away. Limit replies to saved contacts to avoid responding to marketing or spam senders. Use the built-in AI draft helper for a professional English message, then edit as needed.

Filters & blocking

Maintain blocklists by email address or domain (blocked senders move to Trash). Configure Junk folder retention — keep permanently or auto-delete after N days.

Automation rules

Server-side Sieve filters that run when mail arrives (file into folder, discard, redirect). For ops-focused guidance, see Mail automation rules.
