Team collaboration

Assign mail, share drafts, approve outbound sends, and use team shared outbound — Team plan only.

These features require a Team subscription. Professional users should upgrade via Pricing to unlock them.

Team collaboration sidebar

Team users see a Team collaboration section in the sidebar (above your account folders, not under each mailbox). It contains:

Assigned to me Everyone on Team Mail a colleague assigned to you
Assigned by me Everyone on Team Open assignments you created for others

Badges on these folders show the count of open assignments — not regular unread mail counts. Counts are the same whether you view the list or glance at the sidebar.

In Assigned by me, each row is prefixed with 【Assigned to …】 so you can see who owns the handoff at a glance.

Mail assignment

Assign a thread to a colleague directly from the mail detail view:

  1. Open the message.
  2. Choose Assign and pick a team member (optional note).
  3. The assignee sees the item under Assigned to me.
  4. You track it under Assigned by me until someone marks it complete.

Both sides see an assignment bar in the message with the assignee, note, and Mark complete when done.

Use assignments for deal coverage, IC prep handoffs, or ops triage. You can drag messages into collaboration folders like other system folders.

Shared drafts

Multiple teammates can work on the same outbound draft before it sends:

  1. Start or open a draft.
  2. Share draft with selected colleagues.
  3. Collaborators edit in real time; comments and version history stay with the draft.

Pin Shared drafts in sidebar quick access (sliders icon) for one-click access.

Prefer shared drafts over emailing .docx attachments back and forth.

Send approval workflow

Team owners can require approval before sensitive outbound mail sends:

  1. Author submits draft for approval.
  2. Approver reviews in the approval queue.
  3. On approve, the message sends from the authorized mailbox.

Configure policies with your workspace owner if sends are blocked unexpectedly.

Team shared outbound

Authorized roles can send on behalf of the team from a shared identity (where your workspace configured it). See your owner for which aliases are available under Settings → Mail → Send as / aliases.
