Workplace retirement email after you leave the job
Finmail Product
A workplace 401(k), 403(b), or HSA keeps sending notices after you leave. If the address on file is the company inbox, those notices stop when IT closes the mailbox — while the plan itself can stay at the old recordkeeper for years.
Keep Gmail for everyday mail. This page is how to move plan mail off an employer tenant you no longer control — not a Gmail alternative, not a rollover-advice desk, and not a request to migrate work mail off Workspace.
A second Gmail is still the strongest $0 split inside Google. Most people should stop there. Choose another host only if this slice of mail should not live at Google.
Fidelity.com is not NetBenefits
Fidelity’s own NetBenefits FAQ states that the email on Fidelity.com is independent of the address you enter for benefits. You can reuse the same mailbox, but you still have to save it on each site.
Workplace retirement on NetBenefits is a different login than a brokerage IRA on Fidelity.com. Changing eDelivery on one does not move the other. The retail walkthrough remains change Fidelity statements and tax forms.
Plan-sponsor PDFs still tell participants to:
- Sign in at netbenefits.com.
- Open Your Profile → E-Mail Address (or Personal & Contact Information) and save a mailbox you can open after the job ends.
- Open Mail Preferences / e-mail settings and choose electronic or paper for each category.
Menus move. If you cannot save the address online, Fidelity Workplace Investments is listed on those same guides at 800-343-0860. After you leave, some name or mailing-address fields may still go through the plan sponsor; email and mail preferences are still yours to update if you can sign in.
Before the work inbox is shut off
- Sign in to the plan site you actually use (NetBenefits, or the recordkeeper named on your last statement).
- Replace the work address with a mailbox you control. A second Gmail is often enough.
- Confirm mail preferences, not only the profile email — the same split as delivery vs login.
- Keep the old inbox until a live plan notice arrives at the new address.
- If you later roll to a Fidelity IRA, that IRA sits on Fidelity.com. Update that file separately.
A Gmail filter on the work tenant will not survive when the tenant is deleted. Filters also do not edit the recordkeeper — a Gmail filter does not change broker email.
Empower, T. Rowe Price, and other recordkeepers are not this walkthrough. Use each plan’s own profile and e-delivery screens. Merrill workplace access is Benefits OnLine, not MyMerrill — change Merrill statements and tax forms. E*TRADE stock-plan sites are another login — change E*TRADE statements and tax forms.
Where the new plan address should be
| You want | Use |
|---|---|
| Isolation inside Google, $0 | A second Gmail. Most people should stop here. |
| Swiss hosting and end-to-end encryption | Proton Mail — paid Proton, not an unused Free account |
| Generic paid IMAP, not a finance-only product | Fastmail — often enough |
| US-hosted mailbox for investing, banking, and tax, off Google | [email protected] on Professional |
Finmail is Virginia IMAP, not end-to-end encryption. @finmail.com is weaker than a domain you own.
Do not park the only copy on a neglected Yahoo, Outlook.com, or Proton Free inbox — consumer mailbox inactivity.
What this is not
- Not “leave the company address on NetBenefits until you roll over.”
- Not tax, rollover, or distribution advice.
- Not IRS e-file, not a CPA portal, not Legal Hold.
- Not a request to migrate work mail off Workspace.
- Not a cryptocurrency payment mailbox. Finmail does not send or receive BTC or USDT by email.
Professional is $29/mo, 14-day trial, card required, if the job is a finance-only box off Google.
Frequently asked questions
Does changing my Fidelity.com email move NetBenefits?
No. Fidelity documents that the two addresses are independent. Save the plan email on NetBenefits even if you reuse the same mailbox.
What if I can no longer sign in after I leave?
Call the number on your last statement. For Fidelity workplace plans that is often 800-343-0860. Some profile fields still belong to the plan sponsor.
Is a second Gmail enough instead of Finmail?
Often yes. A second Gmail is isolation inside Google and costs nothing. Most people should stop there. Choose Finmail only if this mail should not live at Google.
