If your day job already has an address on firm.com, leave it there. Finmail Professional is not a campaign to replace PE/VC work mail, and it is not an AI layer on top of Gmail.

It is a second mailbox: personal investing, banking, tax, family paperwork, and counterparties who should not be mixed into the corporate tenant.

Mixing those streams is how accidental forwards, retention policies, and “reply all” create money-adjacent mistakes. A second identity does not magically prevent mis-sends — but it stops personal-finance threads from living inside the employer’s archive by default.

Working with your accountant (counterparty, not the buyer)

The accountant is usually the other end of the thread, not the person who should buy Finmail for the whole practice.

  • Give them [email protected] as the address for 1099-B packs, K-1s, and wiring questions.
  • Send the packet as a Secure Share link when you do not want the raw PDF copied into every downstream mailbox. If they need to reopen it next week, do not use burn-after-read.
  • Do not treat Finmail as their portal, engagement-letter system, or tax-season workspace. Those jobs stay on their tools.

This playbook is for the person who owns the second mailbox. It is not a pitch that CPA firms should rip out Outlook.

What this is not

  • Not “Gmail/Outlook isn’t enough for deal teams.”
  • Not a pitch that AI saves an hour a day.
  • Not a request that US firms migrate off Workspace.
  • Not a cryptocurrency payment mailbox, and not a way to send BTC or USDT by email.

Fastmail is often enough

Fastmail is the closer architecture: paid IMAP that is not Google. At signup you can keep the primary copy in the US or the EU; an EU primary is still replicated to the US. If generic paid IMAP is the job, Fastmail is often enough. Finmail is a finance-only mailbox at $29/mo — not another US host, and not a Fastmail alternative.
