A Gmail filter does not change your brokerage statement email
Finmail Product
A Gmail filter is a rule inside Gmail. It labels, archives, deletes, or forwards a message after Google has already accepted it for that inbox. It does not edit Charles Schwab, Fidelity, Vanguard, or your bank. If the issuer still has [email protected] on file, the next statement notice and 1099 still go there — even if you later forward a copy.
Keep Gmail for everyday mail. Issuers already file @gmail.com. This page is why a filter is not a change of address — not a Gmail alternative, and not a phishing or account-takeover guide.
A second Gmail is still the strongest $0 split inside Google. Most people should stop there. Choose another host only if this slice of mail should not live at Google.
What a filter can and cannot do
Google’s own help is the source of truth: Create rules to filter your emails and Automatically forward Gmail messages.
| Action in Gmail | What it does | What it does not do |
|---|---|---|
| Label, star, skip inbox | Organizes mail that already arrived | Does not change the issuer’s contact or paperless screen |
| Auto-forward (all new mail, or a filter) | Copies new inbound messages to another address | Does not rewrite the From on the issuer’s file; Google says a forward filter applies only to new mail |
| Search + “apply to matching conversations” | Can label or archive old threads | Still does not forward history; still does not move the next 1099 |
Replies are filtered only if they match the same criteria. A filter on “Fidelity statements” will miss a K-1 from a partnership, a CPA organizer, and a 529 row that uses a different From.
The issuer’s website remains the record. Email is a copy and a reminder.
Change the issuer, then optionally filter
- Pick the mailbox that should own this slice — a second Gmail is often enough.
- Update each firm on its own site. Contact email and statement delivery are often separate screens — delivery email is not the login email.
- Keep the old inbox until a live statement or tax notice arrives at the new address.
- Only then add a Gmail filter if you still want leftovers on the everyday inbox labeled or archived.
Index of which firm to change: point brokerage and bank statements at a second mailbox.
K-1s and CPA threads are not a broker toggle. Give the accountant the same mailbox — where to receive K-1s and 1099s. Their portal is not your second mailbox.
Where the new delivery address should be
| You want | Use |
|---|---|
| Isolation inside Google, $0 | A second Gmail. Most people should stop here. |
| Swiss hosting and end-to-end encryption | Proton Mail — paid Proton, not an unused Free account |
| Generic paid IMAP, not a finance-only product | Fastmail — often enough |
| US-hosted mailbox for investing, banking, and tax, off Google | [email protected] on Professional |
Finmail is Virginia IMAP, not end-to-end encryption. @finmail.com is weaker than a domain you own.
Do not use a neglected Yahoo, Outlook.com, or Proton Free box as the only copy — consumer mailbox inactivity.
What this is not
- Not “set a filter and the 1099 will follow.”
- Not IRS e-file, not a CPA portal, not Legal Hold.
- Not a request to migrate work mail off Workspace.
- Not a cryptocurrency payment mailbox. Finmail does not send or receive BTC or USDT by email.
Professional is $29/mo, 14-day trial, card required, if the job is a finance-only box off Google.
Frequently asked questions
If I auto-forward Gmail to a second mailbox, do brokers update themselves?
No. Forwarding copies new mail after it arrives. The next notice still follows the address on the issuer’s file until you change that file.
Does a Gmail filter apply to old 1099s?
Labels can. A forward filter does not: Google documents that only new messages are forwarded. History stays unless you move it yourself.
Is a second Gmail enough instead of Finmail?
Often yes. A second Gmail is isolation inside Google and costs nothing. Most people should stop there. Choose Finmail only if this mail should not live at Google.
