If a Gmail, Yahoo, or Outlook.com mailbox goes inactive, where do brokerage and tax copies go?

Keep everyday mail on Gmail if that inbox already works. This page is not an argument that Gmail is “not enough,” and it is not a Gmail alternative.
It is a narrower job: statement notices, 1099s, and K-1 copies should not live only in a consumer mailbox you barely open. Consumer providers publish inactivity rules. A forgotten Yahoo or Outlook.com address is a worse vault than the Gmail you unlock every day on your phone.
The issuer’s website remains the record for statements and tax forms. Email is a copy and a reminder. Inactivity deletion removes the copy — not the filing on Schwab, Fidelity, or the IRS.
Policies below are summarized as of September 2026. Each provider can change them. Follow the linked help pages.
Who this actually affects
The risky pattern is a spare address: a second Yahoo opened for one brokerage form, an old Outlook.com used at tax time, a Proton Free @proton.me never signed into after onboarding, or a Gmail that never sees a sign-in because you live in another Google account.
It is not the Gmail you use for shopping and newsletters. Google counts sign-in across many products. If that Google Account is active, the two-year inactivity rule is usually not the story.
A second Gmail is still the strongest $0 split inside Google. Most people should stop there — and should sign into that Google Account at least occasionally. Choose Finmail only if this slice of mail should not sit at Google.

Read the Gmail row carefully. It is a right to delete after two years of Google-wide inactivity, with warnings — not a countdown that empties an inbox you open on your phone. Yahoo’s twelve-month content wipe is the harder consumer rule. Outlook.com’s yearly mailbox sign-in, and Proton Free, sit in that same twelve-month neighborhood. Paid Proton is outside Proton’s inactivity deletion policy; this table is not “Finmail keeps mail longer than Proton.”
Finmail’s free legacy tier is stricter than Gmail’s two-year personal-account policy. Do not keep K-1s only on an unpaid Finmail box you never open.
What to do instead of hoping a free box lasts
- Prefer the broker or bank portal for statements and tax PDFs. Point the notification address with the statement-email index.
- If the spare box is a second Gmail you actually unlock (same phone, same Google Account), keep using it. That is still the default $0 answer.
- If you will not sign in for a year, do not use Yahoo, Outlook.com, or Proton Free as the only copy of 1099s and CPA threads. Paid Proton is a different product — Finmail vs Proton.
- Export (Google Takeout, Yahoo/Outlook export, or Finmail data export) before a long absence.
- Paid IMAP — Fastmail is often enough if you already want generic paid mail that is not Google. Finmail is not a Fastmail alternative.
- If the job is US investing, banking, and tax mail leaving Google, Professional is a US-hosted
@finmail.comsecond mailbox ($29/mo, 14-day trial, card required). Paid Finmail is excluded from the unpaid inactivity purge. That is not Legal Hold and not a promise of forever storage.
Google also offers Inactive Account Manager so a trusted person can be notified. That is estate planning for a Google Account — still not a reason to migrate work mail.
What this is not
- Not “Gmail deletes your tax returns.” Active personal Gmail is not the example in Google’s two-year note.
- Not a Workspace or Microsoft 365 work-mail migration.
- Not encrypted email, PGP, or Proton-style end-to-end encryption. Finmail is Virginia IMAP; mail can be server-readable so on-demand features work. If Swiss zero-access is the job, read Finmail vs Proton.
- Not a compliance archive or examiner export. Paid exclusion from inactivity cleanup is an account-lifecycle rule, not WORM retention.
- Not a cryptocurrency payment mailbox. Finmail does not send or receive BTC or USDT by email.
Frequently asked questions
Does Gmail delete unused email after two years?
Google may delete a personal Google Account after at least two years without activity across Google, and it says it will warn you. Signing in to Gmail, Drive, YouTube, or other Google services usually counts. Google Workspace school and work accounts are outside that personal policy. A Gmail you open on your phone is not the typical deletion case.
Does Yahoo permanently delete mailbox contents after 12 months?
Yahoo’s help page says an unused mailbox can be treated as inactive after 12 months or more: it stops receiving mail, and contents, folders, contacts, and settings are permanently deleted. Signing in may recover the account, not the old mail. Yahoo Mail Plus is described as preventing inactivity deletion where available.
Does Proton delete unused Proton Free accounts after 12 months?
Proton’s inactive-accounts help says a Free plan may be deleted after 12 consecutive months without signing in to or using a Proton service, with notices to the recovery email. Paid Proton plans are not deleted for inactivity while subscribed. That does not make Finmail more private or more encrypted than Proton. If Swiss zero-access is the job, stay with Proton.
Will Finmail delete Professional mail for inactivity?
Not under the automated unpaid cleanup while Plus, Professional, Team, or Enterprise stays active. Unpaid legacy free mailboxes can be suspended after 180 days and purged after about 365 days. See the inactive-account FAQ.
Is a second Gmail enough instead of Finmail?
Often yes. A second Gmail is isolation inside Google and costs nothing. Most people should stop there. Choose Finmail only if this mail should not live at Google — including when you do not want a neglected non-Google free box as the only copy.
