AI-assisted financial mail review: term-sheet scans and attachment anomalies
Finmail Product
Deal counsel and investment managers drown in mark-ups and “urgent” IOIs. If AI means dumping the inbox into a consumer chatbot, compliance vetoes it. Finmail’s path runs inside the mailbox workflow: on-demand AskAI for the current message or thread, Privacy Gateway redaction before external models, and outputs that remain drafts until you send.
Scenario A — Term sheet skim
Open the AI tab (or Evidence). Expect closing conditions, earnout/adjustment language, exclusivity, fees, governing law, and—if deep audit runs—cross-validation disagreements. Use short summaries to browse and detailed ones before partner review. When quota exhausts, Finmail states the limit; it does not substitute demo analysis.
Scenario B — Attachment anomalies
Hidden other-bidder names, unaccepted revisions, wrong funding accounts, numbers that disagree with the cover email. AI can build a verification list; humans and specialists still own numeric audit and legal effect.
Scenario C — Restrained reply drafts
List what you can commit, must refuse, or must send to counsel → generate → review Privacy Gateway highlights → Delivery check → schedule if needed.
How privacy holds
Analysis starts when you open AI or regenerate—not as a silent inbox crawl. Only needed text is sent. Gateway masks patterns you configure. Mail, attachments, and AskAI conversations are not used to train models. Exportable account audit events remain available.
Quota habits
Classic: 30 rounds/month; Executive Inbox: 150. Spend rounds on TS/SPA/payment threads, not every research blast.
Prompt starters
“Table closing conditions, earnouts, exclusivity, termination fees, governing law; mark uncertainty.” “List number/date mismatches between body and attachment; flag other-bidder or alternate-account language.” “Draft a restrained reply: acknowledge, list three counsel checks, no acceptance.”
Cross-validation
Use multi-model views on high-risk mail; when models diverge, read citations before trusting confidence scores.
Evidence, quota, and supervision
Keep citations with every pasted brief. Prefer “split then analyze” over stuffing an entire SPA into one round. Compliance can sample five AskAI threads for human-in-the-loop proof—gateway on, final send differs from raw draft, no unverified numbers. If policy forbids external models, disable AskAI and still use Delivery check and Secure Share; AI is optional. Start human review from low-confidence bullets when the model exposes them.
Pairing AI with a human checklist
Print a one-page checklist: parties, price, conditions, exclusivity, fees, law, anomalies. AskAI fills candidates; humans tick confirmation. Never invert the order. For earnouts and preference stacks, assume the model is incomplete until counsel says otherwise. Cross-validation panels are for expensive threads, not every marketing email.
Quota as governance
Publish remaining rounds in the weekly deal meeting. Silence around quota creates end-of-month outages on the exact week SPA comments land. Executive Inbox exists for desks that live in long PDFs; Classic may suffice for lighter use—measure before upgrading.
Where models help most
Long narrative mark-ups, scattered condition lists, and first-pass reply scaffolding. Where they help least: precise preference waterfalls, numeric audits, and judgment calls about material adverse change. Design prompts that ask for candidates and uncertainties, not verdicts.
Evidence discipline
Every AI bullet that influences a partner memo should carry a citation or page hint. Shared AI/Evidence runs prevent divergent regenerations. If you regenerate after editing the selection, say so in the memo timestamp.
Privacy Gateway as default
Codename dictionaries, phone patterns, and account masks should be on before the first TS hits AskAI. Gateway mistakes are visible; silent uploads to consumer chatbots are not. Prefer the visible control.
Team norms
Write ‘AI draft ≠ advice’ into the deal team charter. Sample usage in compliance testing. Celebrate people who catch model errors—the opposite of punishing slow reads.
