Make AI a mail copilot: workflow templates for independent investors and IFAs
Finmail Product
Independent investors and IFAs lack a middle office but face institutional information density. Turning Finmail AskAI into a personal deal assistant is less about ornate prompts than stable templates: when to summarize, when to draft, when to extract to-dos, and when never to auto-send.
Template 0 — Baseline
Dedicated financial email for formal investing and client traffic; Privacy Gateway with custom terms; human review always; Delivery check on; remember the no-training rule.
Template 1 — Long-mail summary
List decisions requested, deadlines, amounts or percentages, and questions I must answer. Drop pleasantries. Flag uncertainty.
Paste into your notes—do not forward raw.
Template 2 — Weekly process memo
From this thread only: stage, open conditions, their commitments, my commitments, next follow-up date. Invent nothing.
Push tasks/dates into mail calendar when the product allows.
Template 3 — To-do extraction
Extract only my open actions as verb-object lines, urgency ordered; exclude completed tone.
Template 4 — Client reply (IFA)
Tone: professional, restrained, no return promises. Structure: restate question → factual scope → next documents → offer a call. For my compliance review.
Delete anything that sounds like a guarantee before Delivery check.
Template 5 — Clause compare (careful)
Compare lock-up and transfer language in body versus attachment; list agreements and conflicts; no legal conclusions.
Watch page caps; split attachments or use Executive Inbox quota when needed.
Filing logic
Clients / Deals / Ops / Read-later. Spend AskAI on the first two. Market commentary usually does not deserve a round.
Anti-patterns
Auto-sending AI drafts; mixing multiple clients in one prompt; fleeing to consumer ChatGPT when quota ends; treating AI notes as the compliance archive without originals.
Prompt variables
{counterparty}, {as_of}, {risk_posture}, {must_avoid} keep templates stable across weeks.
CRM boundary
Confirmed to-dos may enter your CRM after human review; silent mail→CRM sync can fight your redaction goals.
One-week trial
Mon configure → Tue summaries only → Wed one client draft → Thu process memo → Fri review hallucinations versus time saved.
Quarterly review
Where rounds went, near-miss mis-sends, client tone complaints—write findings back into short templates.
Versioned prompts and time off
Store templates with version IDs (tpl-summary-v3) and changelogs. Keep prompts under one screen; split work across rounds. Calendar a Friday process-memo ritual with the prompt in the event description. When traveling, share read-only status memos with backups; never grant unattended send. Idle quota on quiet weeks beats inventing work on research blasts. After four weeks, score time-to-clear, near-miss mis-sends, and factual complaints—roll findings into shorter templates, not longer ones.
Putting templates in the calendar
Create recurring events: daily summary pass, Friday process memo, month-end tone audit. Paste the prompt into the event description so any device can run the same ritual. When a remote assistant helps, grant draft insertion rights only. License risk lives in the send button.
When to stop
If templates grow past a screen, split them. If hallucination rate rises on a class of mail, remove that class from AI defaults. Copilots earn their keep by making you calmer and more precise—not by maximizing rounds consumed.
Designing for a one-person shop
Independents fail when rituals require staff they do not have. Templates must run on a phone between meetings. That means short prompts, calendar anchors, and ruthless folder discipline. If a template needs a dashboard, it is already too heavy.
Client communication ethics
Never let AI invent performance promises. IFA drafts should restate questions, bound facts, and propose calls. Compliance review is not optional theater; it is how you keep the license that makes the mailbox useful.
Measuring calm
Track sleep-interrupting email panic as a KPI. If AskAI plus isolation reduces 1 a.m. scrolling without increasing factual errors, the system works. If rounds rise while calm falls, you automated anxiety.
Seasonality
Tax season and fundraising season need different template weights. Swap the Friday memo emphasis accordingly. Keep the no-auto-send rule in every season.
